Graduate Program Console

The Graduate Program console at /graduate-program is the working area for graduate program administrators and committee members. It mirrors the undergraduate console with tabs focused on the PhD/graduate program.

Access is permission-based: if you do not have graduate program access, the page redirects you to your dashboard.

Dashboard

The landing tab gives a program overview:

  • Students by year - distribution of graduate students across program years
  • Milestone progress - how students are progressing through graduate milestones
  • Overdue items - milestones and reviews that are past due
  • Upcoming deadlines - what is due soon across the program
  • Pending approvals count - mentoring forms, masters thesis, and dissertation items awaiting review
  • Quick links to common tasks

Administrators also see the graduate milestones management panel for configuring and tracking milestone sets.

The dashboard loads cached data instantly on revisits and refreshes counts in the background, so it is safe to use as your starting point each session.

Degree Management

Configure the graduate degree programs and their rules:

  • Manage degree/program definitions
  • Edit the requirement rules attached to each program

Students

A searchable, filterable list of all graduate students:

  • Search by name
  • Filter by program and by year
  • Click a student to open their profile and see their milestones, reviews, and forms

This is the fastest way to answer "where does this student stand" questions: the profile collects the student's milestone progress and submitted forms in one place.

Awards

Manage award and fellowship definitions (graduate category):

  • View, create, edit, and archive definitions - names, descriptions, eligibility, and requirements
  • The graduate awards defined here (Smith Promise Award, Center Excellence in Research, Center Excellence in Teaching) appear as options in the faculty nomination form

Nominations

The review queue for graduate award nominations. Faculty nominate graduate students; the committee reviews nominations here:

  1. The queue shows summary stats and lets you filter by status
  2. Open a nomination to see the nominee, the nomination statement, research summary, supporting materials, and the approval history
  3. Take an action:

Nominations under review carry the status Submitted; a revision request returns the nomination to the nominator for editing and resubmission.

Workflows

Administrative view of the unified workflow system as it applies to graduate flows (PhD dissertation, masters thesis, mentoring forms): workflow definitions, their stages, and running instances. Use this tab to check where a student's workflow stands or to investigate a stalled instance.

Graduate Approval Flows

Day-to-day graduate approvals (mentoring forms, masters thesis, PhD dissertation stages) run on the unified workflow system. The Dashboard tab's pending-approvals count totals the mentoring, masters, and dissertation items waiting on reviewers; the items themselves are reviewed from the graduate approval dashboard reached via the dashboard's links. Decisions follow the same pattern as elsewhere in the system: approve, reject, or request revision, with comments returned to the student.

Notes for Reviewers

  • Approval queues live where the work is: graduate thesis/dissertation/mentoring approvals surface through the approval dashboard and pending-approvals counts on the Dashboard tab; award nominations are decided on the Nominations tab.
  • Comments are shown to the submitter - rejections and revision requests require comments, and the nominator or student sees them verbatim.
  • Statuses - items under review show Submitted until a final decision is recorded; per-reviewer progress is visible in each item's approval history.
  • Configuration changes are immediate - award definitions and degree rules edited here take effect for the next form load; no separate publish step is needed.
