Publication Integration

PBS Knowledge automatically imports your publications from academic databases and allows manual management of your publication record.

Overview​

Data Sources​

Publications are imported from:

  • OpenAlex - Primary source, comprehensive coverage
  • ORCID - When linked to your profile
  • Manual Entry - For publications not in databases

What Gets Imported​

For each publication:

  • Title and abstract
  • Authors and affiliations
  • Journal/venue information
  • Publication date
  • DOI and other identifiers
  • Citation count
  • Open access status

Setting Up Publication Sync​

Linking ORCID​

ORCID provides the most reliable author matching:

  1. Go to Profile → External IDs
  2. Click Link ORCID
  3. Authorize PBS Knowledge on ORCID
  4. Your publications will begin importing

Adding OpenAlex ID​

OpenAlex can also identify your publications:

  1. Search for yourself on OpenAlex
  2. Find your author profile
  3. Copy the author ID (starts with "A")
  4. Enter in Profile → External IDs → OpenAlex ID

Initial Import​

After linking:

  1. Import runs automatically within 1 hour
  2. You'll receive notification when complete
  3. Review imported publications
  4. Verify authorship as needed

Managing Publications​

Viewing Your Publications​

  1. Go to Research → Publications
  2. See all publications attributed to you
  3. Filter by year, type, or status
  4. Sort by date, citations, or title

Publication Details​

Each publication shows:

  • Full citation information
  • Abstract (if available)
  • Co-authors with profiles
  • Citation metrics
  • Links to full text

Publication Status​

Author Verification​

Why Verify?​

Verification ensures:

  • Correct author attribution
  • Accurate publication counts
  • Proper citation tracking
  • Clean profile display

Verification Process​

  1. Go to Publications → Needs Review
  2. See publications awaiting verification
  3. Click Verify for your publications
  4. Click Not Me for incorrect attributions

Bulk Verification​

For many publications:

  1. Select multiple publications
  2. Click Bulk Verify
  3. Or use Select All Correct

Excluding Publications​

When to Exclude​

Exclude publications that:

  • Are incorrectly attributed to you
  • You don't want displayed
  • Are duplicates
  • Are not academic publications

How to Exclude​

  1. Find the publication
  2. Click the menu icon (⋮)
  3. Select Exclude
  4. Choose exclusion type:
    • Not My Publication - Wrong author
    • Hide from Profile - Correct but don't display
    • Duplicate - Already have this entry

Managing Exclusions​

View excluded publications in: Publications → Excluded

You can:

  • Re-include publications
  • Edit exclusion reason
  • Permanently remove (admin only)

Adding Publications Manually​

When to Add Manually​

Add manually when:

  • Publication not in OpenAlex/ORCID
  • Very recent publication not yet indexed
  • Non-traditional publications (chapters, reports)
  • Corrections to imported data

Manual Entry Form​

  1. Click Add Publication
  2. Fill in required fields:
    • Title
    • Authors (comma-separated)
    • Publication year
    • Venue (journal, conference, etc.)
  3. Add optional information:
    • Abstract
    • DOI
    • URL
    • Volume/Issue/Pages
  4. Click Save

Editing Publications​

You can edit:

  • Publications you added manually
  • Certain fields of imported publications
  • Request corrections for locked fields

Citation Tracking​

Citation Metrics​

The system tracks:

  • Total citation count
  • h-index calculation
  • Recent citations (last year)
  • Citation sources

Data Sources for Citations​

Citation counts come from:

  • OpenAlex (primary)
  • Crossref
  • Semantic Scholar

Update Frequency​

  • Citation counts: Updated weekly
  • h-index: Recalculated weekly
  • New publications: Daily check

  1. Go to Publications
  2. Use the Type filter
  3. Select one or more types
  4. View filtered results

Collaboration Features​

Co-Author Profiles​

Publications link to co-author profiles:

  • Click any author name
  • View their profile (if in system)
  • See shared publications

Lab Publications​

If you lead a lab:

  • Lab page aggregates member publications
  • Configure inclusion rules
  • Highlight lab-specific work

Export Options​

Export Formats​

Export your publications as:

  • BibTeX - For LaTeX documents
  • CSV - For spreadsheets
  • JSON - For data analysis
  • Word - Formatted citation list

How to Export​

  1. Select publications (or all)
  2. Click Export
  3. Choose format
  4. Download file

Troubleshooting​

Missing Publications​

  1. Verify ORCID/OpenAlex IDs are linked
  2. Check if publication is in source database
  3. Wait for next sync (daily)
  4. Add manually if needed

Wrong Author Match​

  1. Mark publication as "Not Me"
  2. Check if name variation caused match
  3. Contact support for persistent issues

Duplicate Entries​

  1. Identify the duplicate
  2. Exclude one as "Duplicate"
  3. Keep the entry with best metadata

Citation Count Wrong​

  1. Citation counts vary by source
  2. Wait for weekly update
  3. OpenAlex is primary source
  4. Some venues have delayed indexing
